WhatsApp automation for sales teams, without losing the human touch.

How to automate WhatsApp messages the right way: the Business app vs the API, templates, CRM sync and follow-up timing, with numbers from a real estate team that cut follow-up time to five minutes.

01Why WhatsApp, and why now

If you sell to customers in India, you already know where they answer. Emails sit unread, calls go unanswered from unknown numbers, but a WhatsApp message usually gets seen within minutes.

The trouble is that most sales teams use WhatsApp by hand. Each executive messages leads from their own phone, the conversation history leaves when they do, and nobody can see who was followed up and who was forgotten. Automation fixes the speed problem. Connecting it to a CRM fixes the visibility problem. You need both.

02The Business app vs the Business Platform (API)

This is where most teams get stuck, so it is worth being precise.

The WhatsApp Business app

The free app gives you a business profile, a catalogue, labels, and three bits of automation: a greeting message, an away message and quick replies. That is useful for a small shop. It is not a sales system. It runs on one phone (or a few linked devices), it cannot be triggered by your CRM, and it cannot send a reminder at the right moment on its own.

The WhatsApp Business Platform

The platform, usually called the WhatsApp Business API, is what real automation runs on. You access it through Meta directly or through a business solution provider. It lets software send and receive messages, which means:

  • Messages can be triggered by events: a new lead, a booked visit, a missed call, a payment.
  • Every conversation is stored against the right lead in your CRM, not on someone's phone.
  • Many people can work the same number from a shared inbox.

Two rules shape everything you build on it. First, messages you start (outside a 24-hour window after the customer last wrote to you) must use templates that Meta has approved. Second, you need the customer's opt-in to message them. Inside the 24-hour window, after a customer writes to you, you can reply freely.

03How to automate WhatsApp messages, step by step

  1. Get platform access. Verify your business with Meta and register a phone number for the API, directly or via a provider.
  2. Map the moments. Write down every point where a lead should hear from you: enquiry received, no reply after a day, visit booked, visit tomorrow, visit missed.
  3. Write the templates. One per moment, short, specific, with the variables you need (name, project, time). Submit them for approval.
  4. Connect the triggers. Your CRM fires the right template when the event happens, and records the message on the lead.
  5. Route the replies. Incoming messages land on the lead and go to the right executive. Routine questions can be answered automatically; anything with buying intent goes to a person.
  6. Measure. Time to first reply, reply rate per template, visits booked. Change one template at a time.

04The five automations that move the number

  • Instant first reply. Within seconds of an enquiry: thanks, the brochure, one question that helps qualify.
  • Appointment confirmation and reminders. A confirmation when booked, a reminder the day before, a location pin on the day. This is where no-shows drop.
  • The polite nudge. One follow-up when a lead goes quiet, at a sensible hour, then stop. Persistence is not the same as spam.
  • Documents on request. Price sheets, floor plans, payment schedules, sent instantly instead of “I'll share it shortly”.
  • Hand-off on intent. When a lead asks about price negotiation, loans or availability, a person takes over, with the whole history in front of them.

05What this looked like for a real estate team

For Manju Groups we built MMS, the platform that now runs most of the company, from land and marketing to sales, construction, finance and field teams. Its sales side is where WhatsApp automation lives. Leads used to arrive from ads, portals, walk-ins and calls, and live in spreadsheets and personal chats. Follow-ups slipped, and managers couldn't see the pipeline.

5 minto first follow-up, down from 30–60 minutes
Moresite visits booked, as fewer leads went cold

Two decisions mattered most. We put automation where the team already worked, inside WhatsApp, rather than asking them to adopt a new app. And we fixed one path end to end first, from new lead to first reply to booked visit, before touching anything else.

06Mistakes that get numbers blocked

  • Broadcasting to everyone. Users can block or report you, and your number's quality rating and messaging limits suffer. Send fewer, more relevant messages.
  • Skipping opt-in. It is required, and it is also the difference between a welcome message and an unwelcome one.
  • Messages that aren't connected to anything. A reminder for a visit that was cancelled yesterday tells the customer your system doesn't know what's going on.
  • Bots that trap people. Always give a clear way to reach a person.

07What to look for in a WhatsApp CRM

Whether you buy one or build one, the essentials are the same: a shared inbox on one business number, every message attached to a lead, a pipeline with stages, template management, event-based triggers, hand-off to the right person, and reporting on response time and conversion. If your process is standard, an off-the-shelf WhatsApp CRM may be enough. If it is specific to your business, like site visits, inventory or approval chains, a custom build pays back quickly. In MMS the WhatsApp inbox is one module of a much larger platform; see what a real estate ERP covers.

08Questions people ask

How do I send automated messages on WhatsApp?

Use the WhatsApp Business Platform (API), not the app. Register your number with Meta or a solution provider, get message templates approved, and connect them to events in your CRM so each message is sent automatically at the right moment.

Can the WhatsApp Business app automate messages?

Only in a limited way: a greeting message, an away message and quick replies. It cannot be triggered by your CRM or run a multi-step follow-up sequence. For that you need the Business Platform.

Is WhatsApp automation allowed?

Yes, through the WhatsApp Business Platform, provided customers have opted in and business-initiated messages use approved templates. Automating the regular WhatsApp app with unofficial tools breaks WhatsApp's terms and can get the number banned.

How much does WhatsApp automation cost?

Meta charges for messages by category, such as marketing, utility and authentication, with rates that vary by country and change over time, so check Meta's current pricing for India. On top of that you pay for the software: a subscription for an off-the-shelf tool or a one-time build for a custom CRM.

What is a WhatsApp CRM?

A CRM built around WhatsApp conversations: a shared inbox on one business number, every message linked to a lead, automated follow-ups triggered by events, and reporting on response times and conversions.
