01Why generic CRMs struggle in real estate
Most CRMs are built for a sales cycle where a few qualified leads move through clear stages. Property sales in India look different. Leads arrive in large numbers from portals, ads, hoardings, channel partners and walk-ins, most of them early or casual. The step that matters most, the site visit, happens offline. Buyers reply on WhatsApp, not email. And a single family may enquire from three phone numbers about two projects.
A CRM that doesn't understand that shape ends up as an expensive spreadsheet that nobody updates.
02The must-have features
- Lead capture from every source, including property portals, ad forms, your website, calls and walk-ins, with duplicates merged automatically.
- Instant WhatsApp follow-up through the official Business Platform, with approved templates and every message stored on the lead.
- Telecalling with logging. A dialer where every call, outcome and recording lands on the lead without retyping.
- Site-visit scheduling and tracking, with confirmations, reminders and the visit outcome recorded.
- Pipelines by project and stage, so a lead interested in two projects is handled properly.
- Channel partner tracking, so brokers get credit and you see which partners bring real buyers.
- Manager dashboards on the numbers that matter: response time, visits booked, visits done and conversions.
- Clean data migration from spreadsheets and old systems, so nothing is lost on day one.
03Where AI genuinely helps
- Lead scoring from behaviour and replies, so telecallers call the warmest leads first.
- Call summaries written into the CRM after every call.
- Reply drafting for common questions about price lists, floor plans and possession dates, from your own documents.
- Follow-up timing, nudging quiet leads at sensible hours instead of all at once.
It does not replace the sales conversation. Buyers spending a lifetime's savings want a person. AI's job is to make sure that person calls the right buyer, at the right time, knowing the full history.
04What we learned building MMS and Airix
For Manju Groups we built MMS, an operations platform whose sales modules handle leads, WhatsApp follow-ups and site visits, and Airix, the telecalling and dialer platform synced to it. The same platform also runs land procurement, projects, finance, HR and field-staff tracking; read the full ERP story.
The team books more site visits because fewer leads go cold. The biggest lesson was to fix the path from new enquiry to first reply to booked visit before building anything else. The full story is in our WhatsApp automation guide, and the calling side in AI calling agents.
05Buy or build?
Off-the-shelf real estate CRMs are a reasonable start for small teams with a standard process. A custom build pays back when you have high lead volume, several projects and channel partners, your own dialer or inventory system, or a process that gives you an edge. It also means you own the data and the roadmap. For the general trade-off, see custom AI development or off-the-shelf.
06Migrating without losing leads
- Export everything, including the messy sheets and personal phone contacts the team relies on.
- Agree on one set of stages and sources before importing.
- Merge duplicates by phone number and name, and review a sample by hand.
- Run the old and new systems side by side for a short, fixed period.
- Switch off the old one on a set date, and make the new CRM the only place leads live.
07Questions people ask
What is a real estate CRM?
Software that manages property enquiries from first contact to booking: capturing leads from every source, following up on WhatsApp and calls, scheduling site visits, tracking channel partners and showing managers response times and conversions.
Which features matter most in a real estate CRM in India?
Lead capture from portals and ads with duplicate merging, instant WhatsApp follow-ups, telecalling with call logging, site-visit tracking, pipelines by project, channel partner tracking and clear manager dashboards.
Can a real estate CRM integrate with WhatsApp?
Yes, through the WhatsApp Business Platform. Messages are triggered by CRM events such as a new lead or a booked visit, and every conversation is stored against the lead.
Can we migrate our leads from Excel to a CRM?
Yes. Export everything, agree on stages and sources, merge duplicates by phone number, review a sample, and run both systems side by side briefly before switching over.
Should we buy a real estate CRM or build a custom one?
Small teams with a standard process can start with an off-the-shelf CRM. High lead volumes, several projects, channel partners, your own dialer or a specific sales process are good reasons to build custom.
